Community Room Policy

The “PeoplesBank Community Rooms”

Statement of Purpose

PeoplesBank is proud to make Community Rooms, located at our Pedlar (Holyoke) and Suffield Banking Centers, available for the use of eligible non-profit organizations and corporate Bank customers.

PeoplesBank views the public’s use of the bank’s meeting rooms as an extension of our service to the community. The rooms are available for use by the non-profit community in Holyoke and Suffield, as well as surrounding towns within the Pioneer Valley and Northern CT.

Eligibility for Meeting Room Use

An application for use must be on file before the group’s meeting.

Applications can be accessed and submitted at bankatpeoples.com/community. Applications will be reviewed and responded to within 3-5 business days of being received.

The meeting rooms cannot be used for the promotion of commercial interest or for financial gain. Exceptions are educational seminars presented by subject matter experts, who may also be promoting their business or expertise.

No admission fees may be charged to attendees of any meeting or program. Fundraising or solicitation of donations is not allowed unless it is for the benefit of the non-profit using the room at that time.

  • Exceptions to this rule may be made for bank-sponsored programs, such as financial literacy or home buying seminars, where the sale of related materials may be allowed as a convenience to program attendees.

The individual or group filing the application for room use must be representing a group or interest from the Pioneer Valley or Northern CT markets.

  • In the case of organizations, only those having Pioneer Valley or Northern CT residents as a majority of its membership may use the meeting rooms, except in cases of meetings of state- or area-wide organizations having some WMA/NCT residents as members. Exceptions may be made for organizations that do not have residents of WMA/NCT as members, but whose proposed room use would significantly benefit the WMA/NCT community.

The Community Rooms may be booked by adults 18 years and older only.

The Community Rooms are available for use during regular bank hours from Monday-Friday only. The rooms will be scheduled to open no earlier than 15 minutes after Opening, and attendees must depart by 15 minutes prior to Closing. Bank hours are:

Pedlar
Monday, Tuesday, Wednesday, Friday: 8:30am - 4:00pm
Thursday: 8:30am - 5:00pm

Suffield
Monday, Tuesday, Wednesday: 8:30am - 4:00pm
Thursday, Friday: 8:30am - 5:00pm

The Community Rooms are available on a first-come, first-served basis. The bank reserves the right to cancel or modify reservations in the event they conflict with bank programs or services.

Written application for each date requested must be filed with the bank via the "Community Room Request Form" below, preferably at least one week prior to use. The application must be submitted before the room is used. A group or individual is not allowed to have more than six (6) room reservations on the calendar at any one time, and no more than 6 dates may be requested by the same individual or group during any six month period.

The Corporate Responsibility staff, or his/her designee, shall have the sole discretion to determine that the activity fits within the guidelines of this policy, and approve or deny.

  • Restoring the room to the same condition in which it was found
  • Costs resulting from any damage or loss during use

Refreshments may be served in the Community Rooms. No leftover food may be left at the bank.

Alcoholic beverages are prohibited. Any exceptions must be approved by the bank’s Senior Officers.

Banking center staff cannot provide technological help during a group’s meeting for any A/V needs. Participants should be familiar with operation of laptop, projector and connection cords should those amenities be utilized.

No material may be affixed to wall surfaces.

Any individual or group that uses the Community Rooms pursuant to this policy does hereby agree to indemnify, hold harmless and defend PeoplesBank, the Board of Directors, officers, associates and agents from and against any and all claims, actions, causes of action, suits, demands, damages, liabilities, obligations, losses, settlements, judgments, costs and expenses (including reasonable attorneys' fees) of any kind that may arise out of, relate to, or result from the use of the Community Rooms by any such individual or group.

The PeoplesBank Banking Centers and Community Rooms are located in residential neighborhoods. Each organization is expected to use normal courtesies when arriving or leaving the bank property. The bank’s parking lot accommodates many cars, but during regular bank hours, at least half of these spaces should be available for banking center associates and customers. Attendees should plan on using parking spots at the rear of the parking lot, to allow bank customers to park in front of the Banking Center.

PeoplesBank reserves the right, at their sole discretion, to determine the groups and organizations who will be allowed to use the Community Rooms. The fact that a group is permitted to use the rooms does not in any way constitute an endorsement of the group’s beliefs or purposes by PeoplesBank.
